Planet AI LLC (“Planet AI,” “we,” “us,” or “our”) provides AI-powered voice agents, AI chat and text (SMS) agents, and marketing automation/CRM services to businesses. This Privacy Policy explains how we collect, use, disclose, and protect information when you visit planetaiagents.com (the “Site”), contact us, become a client, or interact with an AI agent that Planet AI builds or operates.

By using the Site or our services, you agree to the collection and use of information as described in this policy. If you do not agree, please do not use the Site or our services.

1. Information We Collect

a. Information You Provide

  • Name, business name, email address, phone number, and mailing address submitted through contact forms, booking links, chat, text, or email.
  • Billing and payment details, processed through third-party payment processors (Planet AI does not store full card numbers).
  • Information you provide during onboarding, such as business details, scripts, customer lists, and call-flow content used to configure your AI agent.

b. Information Collected Automatically

  • IP address, browser type, device information, pages visited, referring URLs, and time stamps.
  • Cookies and similar tracking technologies (see Section 5).

c. Communications and AI Interaction Data

  • Call recordings, transcripts, voicemails, and metadata (date, time, duration, caller number) when you or your customers interact with a Planet AI voice agent.
  • Chat and SMS message content, phone numbers, and message metadata when you or your customers interact with a Planet AI chat or text agent.

2. How We Use Information

  • Respond to inquiries, provide quotes, and deliver requested services.
  • Build, train, test, and operate AI voice, chat, and SMS agents for our clients.
  • Process payments and manage billing.
  • Send service updates, appointment confirmations, and (where you have consented) marketing messages.
  • Monitor, maintain, and improve the performance and accuracy of our AI systems.
  • Comply with legal obligations and enforce our agreements.

3. SMS / Text Messaging Disclosures (A2P 10DLC)

Planet AI and the AI agents we build use Application-to-Person (A2P) text messaging registered through The Campaign Registry. The following disclosures apply to any phone number provided to Planet AI or to an AI agent we operate:

  • We use two separate types of text messages, each requiring its own opt-in consent: (1) automated reminders and service-based messages (e.g., appointment confirmations and account notices), and (2) marketing and promotional messages (e.g., offers and updates). Agreeing to one does not enroll you in the other, and neither is a condition of any purchase.
  • Message frequency varies depending on your interactions and the service involved.
  • Message and data rates may apply, based on your mobile carrier plan.
  • Reply STOP or OUT at any time to opt out of further messages. You will receive a one-time confirmation that you have been unsubscribed, and no further messages will be sent. Reply START to resubscribe.
  • Reply HELP for assistance, or contact us at [email protected].
  • We do not share, sell, or rent mobile phone numbers or SMS opt-in consent data with any third party or affiliate, for any purpose. The only exception is our SMS/texting service provider, which is used solely to transmit messages on our behalf.
  • Carriers are not liable for delayed or undelivered messages.

4. AI Voice Agents and Call Recording

  • Calls answered or placed by a Planet AI voice agent are identified as AI-assisted at the start of the interaction.
  • Calls may be recorded and transcribed for quality assurance, training, dispute resolution, and to improve AI performance.
  • Where required by state law, callers will be notified that the call may be recorded. Planet AI clients are responsible for ensuring that call recording and AI-disclosure practices comply with the laws of the states in which their customers are located.
  • Recordings and transcripts are stored securely and retained according to the schedule described in Section 8.

5. Cookies and Analytics

The Site uses cookies and similar technologies (such as Google Analytics, Meta Pixel, and our CRM/marketing platform's tracking tools) to understand how visitors use the Site, measure the effectiveness of our marketing, and improve the Site experience. You can control or disable cookies through your browser settings; disabling cookies may affect Site functionality.

6. How We Share Information

We do not sell your personal information. We may share information with:

  • Service providers who help us operate our business and deliver services, including hosting providers, CRM platforms, telephony and AI voice/SMS platforms, payment processors, and analytics providers — each bound by confidentiality and data-protection obligations.
  • Our clients, when information is collected through an AI agent that Planet AI operates on a client's behalf (Planet AI acts as a service provider/processor for that client's data).
  • Government authorities or other parties when required by law, legal process, or to protect the rights, property, or safety of Planet AI, our clients, or others.
  • A successor entity in connection with a merger, acquisition, or sale of assets.

Note: The general sharing described above does not apply to mobile phone numbers or SMS opt-in consent collected through our text messaging program. Section 3 above governs that information specifically and controls in the event of any conflict - we do not share or sell that data with third parties or affiliates.

7. Data Security

We use commercially reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, alteration, disclosure, or destruction. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

8. Data Retention

We retain personal information, call recordings, transcripts, and messaging data for as long as needed to provide services, comply with legal obligations, resolve disputes, and enforce our agreements, after which it is securely deleted or anonymized.

9. Your Privacy Rights

Depending on where you live, you may have the right to request access to, correction of, or deletion of your personal information, and to opt out of certain uses. California residents may exercise rights available under the California Consumer Privacy Act (CCPA). To make a request, contact us using the information in Section 13; we will respond within the time required by applicable law.

10. Children's Privacy

Our Site and services are not directed to individuals under the age of 18, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can remove it.

11. Third-Party Links

The Site may contain links to third-party websites. Planet AI is not responsible for the privacy practices or content of those sites. We encourage you to review the privacy policies of any third-party sites you visit.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Changes will be posted on this page with a revised effective date. Continued use of the Site or our services after changes are posted constitutes acceptance of the updated policy.
